Strictly follow security requirements accepted for the office. ·Make letters, inquiries, other documents, to provide printing and photocopying documentation per Managers request. ·Process and route, regularly, fax, courier services and other mail. ·Liaise and coordinate courier services and other mail pick-up and delivery. ·Work with the customs broker of DHL on registration of parcels. ·Communicate with the office water supplier regarding water ordering, cooler repair, etc. ·Order lunches for corporate events and business meetings. ·Monitor availability of toner and other disposable items for office equipment, such as faxes, printers and copy machines. ·Communicate with the building administration regarding permanent/temporary passes to the building, work during off-hours. ·Set up, prepare and provide hospitality for the conference room during meetings; coordinate the schedule and to reserve meeting rooms. ·Translate/Interpret from English into Russian or vice versa, if requested. ·Keep the photo archive; get photos developed and printed. ·Provide travel support to company employees and partners, including letter of invitations, visas, air/rail way tickets, hotels, rented cars, ground pick up, VIP lounge and other special arrangements. ·To pay bills and prepare a payment request form, provide reports on meetings. Collect and check the supporting documents for every paid bills. Producequarterlyreconciliationfor the presenceof each bills, acts, Tax invoices or delivery note. ·Provide weekly reports. ·Supervise and maintain drivers schedule. ·Organize and set-up cultural tours for visitors with accordance to the Managers requests. ·Keep track of various meetings and events. ·Order stationery for the office. ·Order phones and to organize office cellular communication for the staff of the company. ·Keep first aid medical kits. ·Carry out and prolong newspapers subscription. ·Order business cards/holidays postcards/special souvenirs/name plates. ·Provide administrative supporting to the Head of Representation and office staff when required. ·Perform other duties as assigned.
