Job Description
The Assistant will give effective and efficient administrative support to several global and regional directors in the daily activities and executes and coordinates administrative activities and projects on behalf of the directors.
Job Responsibilities:
Is responsible for the day-to-day administration
Manages complex agenda’s (pro-active planning and follow-up) with a good understanding of business priorities and takes into consideration the most efficient use of the director’s time
Handles and filters incoming calls and ensures recalls will be done timely
Coordination of newsletters / mailings to suppliers and others + report out
Prepares presentations/files/materials as requested for the meetings (SMT meeting, SBG meetings, staff meetings…).
Commercial and operational coordination team events internal / external: work out purpose meeting, prospection, compare offers, budgetary monitoring (cost reduction), evaluation, on-site presence, …
Makes travel arrangements, anticipates and coordinates point-to-point and changing travel needs (air tickets, hotels, taxi’s…).
Coordinates responses on multiple global requests. Makes, interprets, checks and improves various monthly reports, ensures deadlines are respected and follows up on different reporting systems/pending approvals
Participates directly in the development of goals and objectives by pro-active thinking
Assists the director with establishing priorities and accomplishing a variety of tasks
Manages several specific purchasing projects
Coordinates activities delegated to the back office in India
Required Skills
Education/ Certification:
Bachelor degree
Specialized Skills/Knowledge:
Fluent in Dutch and English spoken and written.
Outstanding Microsoft Office knowledge (Word, PowerPoint, Excel), Lotus Notes and Outlook
Knowledge of SAP is a plus

Required Experience
Minimum 5 years experience as administrative assistant for a director in a global environment
Purchasing affinity is desirable
Experience with management multiple directors is plus
