Job Summary Site Operations Assistant - Reception Site Operations provides the operational infrastructure for Applied Intelligence, and is responsible for all aspects of Systems, Technical Infrastructure and Physical Facilities that make up that operational platform. The Site Operations function ensures that appropriate standards of safety and environmental management are in place in all aspects of BAE Systems Applied Intelligence’s operation. The Site Operation Assistant is responsible for the delivery of front line services to internal customers by supporting the building maintenance team and the delivery of defined services to the office. Site Operations is also responsible for maintaining an internal ticketing systems, security support, Health and Safety, and Business Continuity. Typically Site Operation Assistants generally report to a Site Operations Coordinator or a Regional Site Operations Manager. Key Responsibilities: Maintain and where appropriate improve upon standards to achieve the highest quality service delivery for reception areas. Enhancing visitor experience as first point of contact with the company. Responsible for providing exceptional customer service to guests and clients at every engagement opportunity. Ensuring each client / guest receives a personal, professional “meet and greet” service / welcome. Ensuring all clients / guests receive high standards of hospitality including immaculately presented meeting rooms, supply of drinks and other provisions, provision of information, efficient arrival and departure process, escorting to meeting rooms, notifying internal clients of guest arrivals etc. Support all VIP visits ensuring the highest standards of customer service are delivered. Provide reception and switchboard telephony services, maintaining agreed standards. Support the Site Operations Coordinator in achieving the satisfactory operational delivery of maintenance, cleaning, catering, stock management etc. Ensuring delivery targets & KPI targets are achieved or exceeded. To work on other related duties as defined by the Site Operations Coordinator and/or Site Operations Regional Manager. Deliver internal and external mail services including sorting and distribution of incoming mail, arranging for outgoing mail, maintaining sufficient consumables stock levels. Arranging catering and refreshments for meetings / functions as appropriate. Ensuring daily continual tidiness and cleanliness of the office area; coordinating with any external cleaners where necessary. Deliver excellence in relation to meeting room & hot desk booking services / taxis booking services / post services and maintain appropriate records for the same. Ad-hoc secretarial / administrative office duties as required. Adopt a pro active approach towards people’s concerns, requests and queries and be the point of contact to follow up and close out. To operate as part of an integrated service team, that includes Facilities, SHE, Business Continuity and Security to ensure that the services are delivered in an efficient and coordinated manner; to adhere and work towards the safety and security polices in place. Taking minutes from weekly meetings and distributing them to all attendees. Making purchases on behalf of the department and company; reconciling monthly bank statements and providing appropriate back up as required. The candidate must be able to obtain a Danish security clearance. Fluent in Danish and English is a requirement.
